Automating Finance Reports and Quote Follow-ups with Barry

Hey, my name is Griffin.

I'm co founder and CEO at hireberry.

And today we'll be going over how Barry can help connect to your finances to help with your reporting, but also to help with following up on customer communication, as well as invoices and quotes.

So here you can see I've opened a chat with Barry in WhatsApp, so, so it's hey Griffin, let's get Griffin's landscape, you know, started.

so then I ask what it can connect to, gives me a brief overview and then I'm like, all right, let's connect Jobber.

This is again just a simple text.

I've gone ahead and clicked that link and you can too.

And then we've connected QuickBooks.

So now Barry is fully connected to my jobber and my QuickBooks.

So for starters I have a few examples here.

But now these are just something that I've pre prepped and you can help Barry set up automations for any specific use case that you think is relevant.

So for now we've gone ahead here and set up every Monday morning give me booked revenue for the next seven days from Jobber and as well as cash collected month to date from QuickBooks and every past due invoice with the client and amount.

So you can send that to Barry and Barry will go ahead and set up that automation for you.

So those insights and reports land in your WhatsApp or wherever you want Barry to connect that information for you at the specified time and date.

So every morning for, you know, on every Monday morning for this instance.

So while Barry's getting that set up, we can go ahead and look at this next prompt here.

again these are just examples so you can see every weekday check Jobber quotes for awaiting a response for three or more days and then draft a follow up email to that client in my mailbox, tell me it's ready.

actually I haven't connected email yet, so let's go ahead and do that.

So we can say connect Gmail, and you can just say hey Barry, I want to connect my Gmail.

Then you can see here, Barry has gone ahead and connected that previous, Monday revenue report right here.

So you know, deliver on WhatsApp to Griffin every morning I'll pull this information.

So that's already set up for you there.

So you can see here, I've said gone ahead and connect Gmail.

So then Barry has sent me, you know, this message here and then sent me the connection link for my Gmail now, I went ahead and clicked that, to make the connection.

So it's already connected.

but you can go ahead and connect your email and then we can go ahead with this next prompt.

So for Barry, he can check our Jobber account and look for overdue, quotes and invoices and then follow up on the customer's in your own tone and voice.

so for example, we can send that.

Give me an example draft in my email right now.

So Barry's going to go ahead and think through that.

So you know, it's just pulling up Jobber quotes, pulling up the list of pending quotes right now.

And then we'll come back when Barry's ready with that.

All right, so we're back and Barry took about a minute to do this task here.

But you can see it looked through our Jobber quotes and then drafted an email in our Gmail.

so we can go ahead here.

You can see that Barry has sent us a message saying that it set up this routine for us so every weekday at 8am it will pull those quotes and follow up with our customers.

So then you can see here it's found one and it's gone ahead and drafted that.

So we'll go check that out in our email.

So if we go over here and go to our drafts, we can reload this.

And you can see here that Barry has created a email in our own template, to send to your customer.

So now these are just a few examples how Barry can help you out with your email invoicing, your quote, following up, your invoicing, following up, and then also your financial reporting.

so just one more time here, I'll ask Barry to give us an example of the financial report that you've set up, to send daily.

And so Barry will go off and pull that example just so we can show you how to what it looks like for you to text Barry.

And so that took about 30 seconds but Barry came back and with our full on report that you'd receive every morning here, or every Monday morning.

So you can see it's pulled the data from Jobber as well as QuickBooks and then given you insight into exactly how much money you're making every day so you can stay on top of your books and run your business better.
