Boost Profits and Valuation with AI-Native Systems 📈

Hi, my name is Joe, I'm the founder of dealflow Agent.

Now how we do that is through systemizing, automating processes and workflows.

many of the workflows and skills that you'd otherwise think that absolutely require humans, end to end or even teams of humans, can now sadly can be automated, especially some of the head office roles.

But the, it's the existing team that can make use of these AI agents.

They can ultimately turn them into their secret weapon, to help them do their job better basically without having to go out and hire junior staff to do it.

Basically phase one is doing a diagnostics review, a deep dive across your company, your existing systems, tools, workflows to get a sense of where those bottlenecks and inefficiencies could be as it stands and where there could be leaks that ultimately are slowing down your company.

And whether a staff member leaves or quits or gets fired, taking all of that precious knowledge about systems and workflows and how to get that outcome is a real waste and creates security issues as well.

so we go through phase one deep dive conversations, typically two or so calls, with the CEO, managing director as well as if available, head of ops, head of marketing, head of sales, to really get a feel of what's going on in the company at the moment, how does the workflows work so we can get a good sense of where those bottlenecks are.

You may already be familiar with some of the bottlenecks and inefficiencies.

we'll then build that out into a 40 page doc.

The first half of the report will be primarily documenting where those bottlenecks are, what they look like, what's the material impact on revenue, on EBITDA, margins, on key KPIs, releasing custom performance, custom satisfaction, satisfaction.

Whether that's follow up speed, whether that's having 247 availability, whether that's being able to deliver to the level of customer expectations or in advance, whether that's collecting referrals in a systematic manner, procurement challenges, bottlenecks around supply chain or regulatory compliance, you name it, there will be bottlenecks and efficiencies across the company, some of which you may not be fully aware of yet, but it's always good to kind of lay that out.

In the second half of the document, you will see that there's detailed insight into recommended strategies.

Now for each of these bottlenecks, inefficiencies.

Bain chart.

I read about a business owner.

Bain charged a business owner at $1.2 million for a similar report.

It was a bit longer at 200 pages in length.

It took them a few months to do, but they basically hired, they use their junior staff, their interns, the analysts, the associates.

These people are 23 to 27 years old, with a partner that then reviews it.

We have effectively automated that kind of junior analyst data science, role.

And it's much more effective because the recommended solutions are using the latest cutting edge technology.

In that example I mentioned about the Bain consultancy firm, charging $1.2 million to a business owner, it's on the news, Deloitte's done something similar like a half million dollar report.

And business owners are like what do we do with this information?

I don't really know what to choose.

And by that point the consultancy firm has run away.

So as you know, with our pricing, it's like a tiny, tiny fraction, A few grand for smaller firms, to deliver this output.

So the level of insights, the level of learning is going to be so eye opening, even if you just end up with the report in itself you'll find incredibly valuable far in excess of the small fee.

because the exercise of going through, building that out, identifying where those bottlenecks are, where the inefficiencies are, where the hidden costs are across, your commercial engine, the end to end view of the capture, how to qualify quote, the follow up wins, deliver, renew, all within a systematic process, where does the conversion and margin disappear along that journey?

then looking at systems and data, your customer relationship, management, the accounting, the inspection software, call logs, spreadsheet, you need to get a clear insight into who speaks to what, what's duplicated, what can't be trusted, where is there missing context from one spreadsheet to another?

Or if there's a CSV file over here, there's an Excel file over there, there's duplicates here and there.

That sequence is incredibly important so that you can have that centralized second brain which we'll come on to in a second.

Looking at the team and workflows, where are the bottom acts for the T team?

Where is their decision making breakdown?

If a management team or a C suite or even the founder goes on holiday or a sick or someone quits or is fired or worse, will there be a disaster?

Will a lot of that knowledge go with, has that been documented?

Has that been systemized, effectively?

if not, there needs to be a formal process.

It's not just some kind of basic, basic handover document in a different color coded format here.

And then another team member leaves and they've put together kind of scrappy notes over here and they kind of all these fragmented notes.

It's having a material impact on day to day running the company with that type of approach, but also when it comes to selling the company as well.

A lot of that knowledge, the network, the skills can't just walk out the door.

It's all got to be centralized buyer readiness that links up to valuation scorecard that will build for you as well.

So you'll get a personalized valuation scorecard, gives you insights into, show you.

all the contributing factors towards your company's valuation.

This example, you can see how the different contributing factors around financial performance can have a material impact.

And as part of the exercise we'll go through with you and actually help you lay this out.

So figuring out what, to what extent is the, your score now?

Like is revenue growing quickly?

Are you at 3,4 million revenue now and you want to get to 8 million in the next three years.

If you're at 10 million, you want to get to 20 million.

Or if maybe you're at 2 million, you want to get to 3 million.

That's also perfectly fine.

but we can help you go through this exercise.

It's really, really eye opening actually because you can see like the various weighting factors and you can see what your score is now and what your score could be in the year from now and how that has a weighted contribution to the overall value of the company.

looking at predictability of revenue.

This is always an interesting exercise.

Sometimes when we work with H vac or fire safety businesses where they're serving a lot of residential homes, and the majority of the revenue is there, sometimes the revenue is less predictable.

Others that are serving schools, hospitals, councils, universities and things where there's 1, 2, 5 year long contracts makes revenue a lot more predictable, can add significantly more value to the overall company, very significant value.

So there's clever eye opening things there.

You can think about, contract length, customer retention, what are you doing there in terms of renewals, how are you getting testimonials and then converting that back into renewals, creating that viral word of mouth virality, which in itself is part of the value proposition.

Again, props up your overall company valuation.

looking at revenue per customer, you rely on any particular customers.

If so, why?

Let's reverse engineer from there.

Use first principles thinking to figure out how that can be resolved between now and exit or between now over the coming months a, lot can be done even as two or three months.

Again this valuation scorecard is just one aspect of that initial phase one, for our service that we offer.

Right, this is just phase 1m, the confidential diagnostic review.

Typically this will take 10 days end to end.

It can be relatively efficient and you'll receive the 40 page report and the valuation scorecard and a personalized buyer list as well so that we have about a dozen or so buyers and then detailed insight into who they are, why they could potentially acquire a company, where would be the cross sell upsell synergies and what you could do to make the company more valuable and attractive for exit.

if you then want to go on to have phase two, you can do what you want with that detailed report, the value scorecard and the personalized bias.

But if you would like to then go to the next step, which has proven quite popular, we can build that a second brain.

Now this is something that you may begin to be familiar with if you're in the tech world, because the technology is relatively new, under the same theme that a lot of that knowledge disappears when some of your team members walk out the door.

A lot of the skills, the knowledge, the judgment that's necessary to get to that desired outcome, whether it's in lead generation conversion, whether it's in your procurement processes, whether it's finance and admin marketing, you're probably thinking of people, like when they were fired or quit they like took away all this knowledge and learnings like wasn't quite handed over properly and that's costing you significant amounts both in terms of lost revenue and profits.

The other issue is that even if you are using basic ChatGPT or Claude tools, maybe you're using it yourself but the rest of the team aren't.

But your colleagues don't have a centralized source of knowledge across the breadth of the company.

So consequently decisions are made in different manners.

Social media posts are slow to produce and, or blogs or outbound campaigns via email or LinkedIn, all taking a little bit extra long because it's constantly having to be done fresh and there's hallucinations and mistakes.

There's no centrality when it comes to linking back your company's knowledge base.

and we can give you some examples relative to the decisions that are being made on a daily basis by your C suite team, the management team, the subordinates within each of the departments.

just like you would as a human creating perfect super memory so to speak.

You've got centralize up and then the spokes that go out connect to the different nodes and each within, within each of the nodes you've got detailed information relating to your company.

In this case it's a hypothetical example that we put together for confidentiality but you can click into each and you can see how all of it works and how it's laid out.

Now it is systemized, the command center and how that links out just like you would, you know as a, as a team and combining of your knowledge and super intelligent people in your team we are basically creating that, that perfect memory.

Now this memory can live in a virtual machine in the cloud, Secure, private, using the latest isoc, data privacy GDPR compliance.

It can also be and, or be stored on a local Mac Mini Pro.

So it's basically a super powerful computer which can literally live in your office.

So if you data security is particularly important to you and you have everyone in the office, you can literally have all of this stored.

We can actually come to your office and set this all up for you.

So it's stored locally on a hard drive there.

yeah within each you've got playbooks, you've got knowledge, you've got workflows, you've got skills, memories and everything between all relating to your company.

This just having a second brain forms can significantly increase your company's overall value.

And if you're already a 5, 10 million pound company, 20 million company, adding on another half X multiple for example to your profit, you're talking hundreds of thousands if not into the kind of low seven figures that could be added to your company within a matter of months by systemizing a knowledge base.

Because when an acquirer is looking at this like okay, right, you know, this is all protected, the company's not going to collapse.

Post acquisition.

The company systemizes, it's organized now this is it, you've got knowledge bases, workflow skills.

As mentioned, the challenges.

What, what's wrong, what could be a fix?

the team, how it works, the goals, the KPIs again all linking back.

This is used as retrieved basically for AI agent.

Now the AI agents.

The best way to describe AI agents, which is part of phase three is literally employees.

Imagine doing a recruitment process and going out and hiring three, four, ten new employees.

And within a matter of a few weeks they become deep, deep experts in your business, and how you operate and how to execute tasks.

AI agents are literally like workers.

Workers that are embedded into your tools and Systems, whether it's JobLogic and SimPro, for CRM and procurement processes.

I know that there are various custom CRMs and procurement tools out there, but it's all some of the tools that can be integrated, it could pull, read data, it can write data, you can have guardrails.

But basically it can go in through API or mcp, model context protocol and execute task just like you would if you had three, four analysts and associates by your side doing that work for you.

One of the great AI agents, or AI employees I should say that you might find interesting is what we call the Chief of Staff, which AI agent.

So chief staff agent is if you can imagine, like a team structure, sits right next to the C suite management team.

it's connected to 1020 tools, you know, cross sales, marketing, finance ops, admin.

And they get to work at 7:00am Between 7:00am to 7:30am, the AI agents will basically utilize their connected tool access.

If you've given it permission, go in.

Okay, right.

What was revenue in the last 24 hours?

what's the state of the balance sheets what customers have, not like have invoices but suppliers, it still needs to be paid and will formulate a lovely 1000 words or so in financial and KPIs metrics and insights will then look at sales marketing.

Okay, how many emails were sent out yesterday?

there's three breakages with three inboxes.

Okay, we'll raise that as a red flag that needs to be fixed.

Okay, what was website views, how many people hit the website, how many people, or how many website viewers ended up using one of the lead generation tools, a free giveaway PDF or in our case we give away like free valuations and buy lists and things like that.

how many people took action basically?

okay, X percent, right, that, that's lower than our KPI.

Here are the recommended actions.

likewise for marketing on social media content.

do we do posts across all channels yesterday what was the engagement metrics?

we got 300% increase in comments.

Okay, why was that?

right, we did that particular campaign that's really proved popular.

Great to see.

Make sure you congratulate the head of social media for that use.

Case goes into finance admin basically and you get this beautiful report.

Two to three thousand words in length can be longer, can be shorter that you can read over breakfast and you can get that every single morning, landing in your email inbox, or custom dashboard that we can build for you.

So that's just one AI agent of many, right?

That chief of staff.

We basically giving you an AI that pulls that data from that centralized knowledge base.

And you've got two or three data analysts that sit alongside the chief of staff.

Basically three employees get to work at 7:00am, 7:30, you got that lovely report.

So it really gives you data driven real data insights in across the breadth of your company and therefore you can take action.

Now with AI agents though, what's really exciting is that it's not just hey, here's a report, you go do the work manually now.

AI agents are now so advanced, so capable using the very latest algorithms and large language models from anthropic, for example Opus 4.7 is the latest as of 7th of May.

But I'm sure if someone's watching this a few months down the line, that could be 4.8 and others, we use the very latest cutting edge technology now we can set up a agent so they can actually go and do the tasks autonomously.

So it will say, hi business owner, here's the report.

Here are the top 10 priority actions here are the urgent ones that need to be fixed.

Like for example you might have four or four pages on your website.

Blockages.

Literally people can't hit the website or your app is down or a CRM issue or something.

It will then raise that flag and they'll say hey look these are the tasks as the AI, these are the tasks that we can go and fix automatically.

These are the tasks that I need your input just to give further context in order to approve.

Then I can do autonomously.

And here are the three things you need to do manually.

Those manual tasks that the business owner or the management team will need to do will often be things like you need to jump on a call with a customer and speak to them about this, this, this or you need to negotiate like so anything that's kind of human relationship trust, driven, that's obviously not going to be automated.

But a lot of that back office work can be whether it's kind of generating the next two weeks worth of social media content and scheduling it through a tool like Buffer for example or with your brand, your tone of voice, the images, even producing videos can be There's a few examples up here actually like supporting quote follow ups, renewals, getting those referrals in all of this basically contributes towards making your company more valuable And I to give you some insight and I know we've gone a little bit over what, what is the ROI here with, with all of this because it's very hard to materialize or, or come into play.

Let's say your company is company's doing 8 million revenue a bit dart.

Let's say it's kind of in and around 800k goes to 19 and yeah trading multiple is in around 6 7x.

Now this is multiple on your profit basically a pre tax profit and to get your overall valuation as a company.

So 6.4 million that can have a significant uplift in overall value.

4 million, 4.7 million with a 1x uplift.

So by systemizing your company, going through the phase one, having that detailed report, going through phase two, having that second brain and then having a few AI Agents built in.

as you can see here, we've got the cost of the dynamics to report.

Four grand is basically the one off fee.

Then the second brain fee is about eight grand.

Then a monthly retainer for maintenance.

And we can also help you with three new AI employees at a cost of 2K per AI agent employee.

So lead generation one another one for SEO you might want to have three.

Sometimes clients want four or five.

Okay.

But you can imagine instead of paying 40, 50 grand we can, it's cost 2K to set up and rather than it's taking three months for them to get fully trained and you know, integrated with the team and things like that, we're talking days or weeks for it to become a true, true expert that can outperform.

It's a sad reality that we're in unfortunately but outperform humans.

so you've got massive cost savings with the three staff that, that you don't need to hire for the extra for those roles.

You've got the improvement in EBITDAR because it's not just cost savings.

You're able to basically grow without adding headcount necessarily or significantly.

So the significant uplift in the bitdar, so that's a significant value and therefore with the additional EBITDA on top you can then apply that a higher multiple.

So 1x increase, so 7.8x.

let's just take it up to 7 if we can.

So 8x instead of 7x.

And that is why there's such a big uplift in overall value basically because your margins are up, you've got a systemized business.

So when we look at our pricing 1 off setup fees 18k then you've got a monthly retainer.

This is for myself, my team to basically keep you up to date with the latest large language models, the latest systems, and maintaining the AI agents and things and just keep looking after you.

Basically training again the equivalent of training the AI employees making sure they're kept up to date and they're only getting more advanced.

Small retainer really like human employees would be kind of 15k at least or so in salaries there.

So yeah small cost in total.

You don't really know what they're going to pay, you don't know if that's the best market rate.

What I do know for sure though is if you systemize your company, if you've got a second brain, you've got AI agents, you become, you know, from a local service old school business and then upgrade to AI enabled and within a very short period of time we can turn you into an AI native, building service company, healthcare company, you name it, and you'll have a massive impact on all these factors as well as customer satisfaction as well and dare I say make the overall journey of running the company a lot more enjoyable.
