Automating Your Sales CRM with NOAN and Zapier 🚀

hello everyone.

I want to just take you through and show you how we're using NOAN as a CRM, particularly as it relates to sales.

I think a lot of you could really benefit from this.

Ditch those old CRMs and move into a full AI native space with us.

So if you're not using the power network yet, you should.

But I think this is going to be a real unlock for you.

So on our website right now, we have a section where people can book a call with me.

And some of you have done this and gone through this route.

When you book this call, it is going to open a calendar.

You're going to book it.

So any user going through that flow is going to book it.

Now what I've done here is we have a zap, set up so that whenever an invite T creates, an invite, we then find the contact.

So this is the zap that we have.

This will load in a second.

There we go.

So it finds the contact, right?

And then if there isn't one, it will create once.

And more than likely than not, there's probably not one.

So you can click create one and then what we use is the update Contact zap.

Now the thing to know about this update contact zap is if you are editing or using this app, you can leave sections blank.

If you leave them blank, it will not overwrite what is currently in the contact.

So that could be memos, that could be, tags.

It won't overwrite it.

But here, for example, I've chosen that I want to take their answer, to one of the questions, which is what's your website?

I'm gonna add that and then I'm gonna select two tags that it's going to add.

A demo book tag and a lead tag.

Right?

So that's essentially what I've got.

And then I'm gonna show you what happens.

So once they fill that in, that zap fires and it drops them straight into network.

So let's just jump across and show you what that looks like.

So in network here I've got my saved view.

And if you haven't done this, I really recommend you set up a host of different save views.

We've got my target investors, which is a private one that I just use reactivation, targets subscribe, current subscribers, which many of you will be in hot leads and leads views, and then these are shared across the team.

And so, here I'm in the leads view, right?

So this is where I come every day.

I have this open.

I've also just a reminder in Net in activity there's a widget that will show you the latest leads that have dropped in.

But you can see that test lead that we sent through John Doe is in here and the tags have been added, lead and demo booked.

Right.

So, this is ideal for me because I know that a lead has just come in.

I can see that they're now in our pipeline.

We've got a lead, they've booked a demo ideal.

so what happens now is that, obviously I'm going to go through that demo and once that's done, I will change the tag to demo done.

Right, so then we've got a lead in there that says demo done and we know that they've started to come through our pipeline.

Now this is where task comes in.

Because what's really powerful is that you're going to want to follow up with these leads, right?

You're going to want to work out who's the good lead, who's the.

Who's the hot lead.

And so, I use the assistant currently and we're building some amazing automations that are coming to help you with this.

But I use the assistant daily to then work out which leads do I need to go after.

And I'm just going to show you kind of an example of that now.

So here I'm in the assistant and you can see I've asked it what leads have I got in network that I should reach out to and it's come back with a group of leads that it deems high priority because they've been tagged as hot lead, which is fair.

Right, so those are key high priority leads for us.

And then it's also got recent leads that we might want to go after.

And I'm just going to scroll down and show you a couple of the other things it's highlighted.

And so here you can see it's also highlighted leads that have had demos done.

And this is one of the reasons these tags and building out these tags is so vital because it adds context to the assistant of the stage that these users are at.

So the way to think about your tagging in network is these tags need to be stage based, right?

So lead demo done, demo booked.

These are stages that we have.

then it actually automatically convert to subscriber if someone subscribes via Stripe, just via another zap.

So as a result I've got an understanding of who I want to go after.

And you can see here like, you know, it's asking if we want to do anything else.

It told us there were more that we'd done demo done.

So I asked it to elaborate on those.

And then here you can say it'll create follow up tasks for these if I wanted.

So yes, I said yes please.

Can you create follow up tasks and tag them as sales?

And then boom, it created follow up tasks, tagged them all as sales.

And we'll talk a bit about tags in, in tasks in a second, but tagged them all as sales.

And then I asked it to assign me and then I'm assigned to all these tasks.

So I'm going to now jump across into tasks and just show you kind of what that looks like and just how to think about tags as they relate to network in your task manager.

So again here I am in the task manager and what I've done is I've chosen a saved view.

So we have saved views across all business areas.

These are filtering by tags.

You can create saved views on any combination of tags, whether someone's assigned who the contacts, are due dates.

You can create your own mix and match and make as many views shared or private as you would like.

So for example, I could create Daniel's marketing tasks and that would be one that's just filtered on those things.

But in this instance I've chosen sales and this is based on tags.

And one of the things that we think is, is a good lesson for working with the task manager is you've got those stages in network, which is leads, demo done, demo booked, subscribed, etc.

and then they sit under a category.

And so here we have a category level, filter which is sales.

That's ultimately like the department, right?

Sales, marketing, business, customer success.

Those are our kind of departments.

So we keep, and we think it's kind of good best practice to keep our tags here built around the departments and then we can manage the stages in network.

There are like variations on this and this is up to you but we find this the most effective.

And then in each of these tasks they're directly connected to the contact so that the assistant knows and understands which contacts connected to which task.

Currently you have to manually connect it to the contact.

In the next few days we'll likely be shipping that as an assistant automation so it will just manually, it will automatically connect it to the contact.

So this now allows me to manage the stages of my outreach based on those tasks and based on the leads in network So I just am back now in my network Leads View and I just wanted to show you that you'll see on the right hand side here the task icon.

And if I hover over that, it will show that those tasks we have that connected to these leads, are there.

So then we can see who we need to action and who we need to follow up straight from this Leads view.

we're going to add a lot of automations into this and the task manager is going to be key to enabling that where that lead filtering task creation is just automated.

but for the moment that just gives you a sense of just how easy and simple it is to actually use NOAN for your pipeline management, turn it into tasks and just reminder if you've create connected Gmail, you can ask it to follow up on these tasks and send an email to these people as outreach, which is what I'm doing to get them to book demos or whatever it is for your business.

So you can connect all the dots here.

you can manage your sales, you can manage your marketing.

All of these tasks are easy to switch between in the views but from a sales pipeline perspective that's how we've got it set up.
