Sending your first envelope with Annature

Hey there.

Today I'm going to take you through sending your first envelope with aniture.

Logging into aniture, I arrive at the dashboard which shows me any envelopes I've sent out for e signing.

On the left hand side here, the name of the envelope and I also get a good snapshot of which stage each recipient is in.

Green being completed, blue being in progress, so they've received it but haven't signed it and orange means we've enabled a signing order and it just hasn't reached that person in the queue yet.

Coming across the status of the envelope, whether it be in progress or completed you and on the right hand side here, the sender and the date that the envelope was sent.

Coming up the top, I can search for a particular envelope by name or I can filter by status, sender, recipient or date range.

To send a new envelope I can head up to the top left hand corner and hit send envelope.

To get started, I upload my documents.

I can have as many documents in a pack as I need, up to 500 pages coming down.

I'll begin by adding my recipients which we can have as many recipients on a pack.

We just require the full name and email address.

We also have the option to enter a mobile number here.

If we do so, we'll send your recipient a link to sign via text message at the same time as the email and it's whichever link they click first.

In the drop down.

On the right hand side we've got three needs to sign needs to view.

With this option, your recipient needs to confirm that they've looked at the document and receives a copy.

All of your recipients receive a copy by default.

This might just be a third party that needs to get a copy of those completed attachments.

Under options, we've got a few security preferences.

We can require a password like a date of birth to access a document, or instead of sending a link to sign via text message with that mobile number, we can enter that for two factor authentication so they'll get a code to their mobile when they click on the link in their emails to access that signing session.

We can have as many recipients on a pack as we need.

And if we do have multiple recipients, we can also enable a signing order.

This will dictate how the envelope gets sent out.

For some context, we can do some pretty powerful workflows with this signing order.

In this instance, these top two people will get the envelope at the same time and once they've both completed the envelope, it'll then be sent to that third recipient I'll just keep it nice and simple and leave myself on this envelope Once we've added our recipients, we can come down to prepare documents.

This is where we mark up the documents with the fields that need actioning.

This could just be as simple as dragging a signature and a date field.

However, we also have some additional fields if you need them.

Things like name and email will automatically pre fill from the contact record and stamp that text into the document.

If you need to collect information such as an address, you can use a text field.

Any fields that you see that are light colored here are optional.

However, you can mark that as required in the top right hand corner so your recipient will need to interact with that field in order to finish the envelope.

Coming down I have a question that would most suit a drop down.

I'll drag that drop down onto my document and I can add those options on the right hand side.

For example yes or no?

This question here would most suit a checkbox.

So I'll add those checkboxes onto my document.

If you've got a question that requires one answer out of a selection of checkboxes, you can highlight over them, group them on the right hand side and add a validation.

So for example, select exactly one.

If you have multiple recipients on an envelope, they'll be color coded in the top left hand corner so you can easily identify what fields you're preparing for each recipient.

Once you've prepared your document, you can head up and save changes in the top right hand corner.

We'll scroll down and add some finishing touches before we send the envelope.

We'll give the envelope a name, something easy to refer to in the future, and we can write a message out to our recipients.

We can of course write this out per envelope, or we can set up a message template in settings which we can select from this dropdown, which is a reusable email body that gets sent out to our recipients in this message template.

I have used a merge field which will also automatically input my recipient's name, eliminating that entire manual step.

On the right hand side I can see an email preview of what that will look like going out to my recipients.

Being fully branded with my logo and colors.

To send the envelope I just head down and hit Send envelope.

I'll now bring across my emails and show you what that looks like from a recipient's point of view.

Here.

I've just received the email that I have sent out.

It comes from the business name and by default comes from the Annature email address.

You can also Change this in settings so it comes from your business domain.

I have my email here being fully branded.

It's inputted the recipient's name in that message and and I just need to hit Review Documents to get started.

This will take me to the envelope.

I get that message again and press Review Documents.

Your recipients can of course scroll through the documents as they wish, or they can hit the Click to Begin button in the top right hand corner and we'll guide them to each field that's required.

Here I have that text field that I marked as required.

The drop down those checkboxes that I added the validation for.

And I can sign by selecting a font, drawing a signature or uploading a picture from my computer.

I'll just select a font for this example.

Once your recipient is completed, they just need to hit Finish Signing in the top right hand corner to finish that session.

Once an envelope is completed, a few things happen in the background.

Each of your recipients will receive a copy by email for their reference.

and the sender will also be notified by email with those attachments as well.

Coming back to the Annerger Dashboard, I can now see that that envelope's completed.

If I open that envelope, I get some basic details at the top coming down my recipients, and an audit log of every key event in that envelope's history.

Up the very top, under envelope actions, I can download the documents so the individual documents themselves, as well as the certificate of completion, which houses all of your compliance information.

I'll just quickly jump into an envelope that's still in progress and show you a few nifty things that we can do here.

For example, this envelope that's still in progress that I sent to myself.

If I open that up, Coming down with my recipients, under Actions, I can manually resend an envelope.

If I've added authentication such as two factor or a password, I can edit that authentication whilst the envelope's in flight.

And if there's an error with the name, email or mobile number and it hasn't reached our recipient, we can also edit those details, hit save and that will resend out to the correct address.
