How to use NOAN's Project Management Features

Hello everyone.

I wanted to give you an overview of how project management works on NOAN.

Because we've shipped a lot of features, it's evolved a lot, but it's also going to be core to the way that you work with the NOAN assistant and soon agents from the platform.

So let me give you a walkthrough.

Right now I'm in the NOAN workspace and you can see here on the right hand side I've got my priorities.

One of my priorities is actually to create this video.

And I'm two days late.

So you can see that's highlighted in red there.

The assistant knows and understands these priorities and in this priorities widget it's going to be related to those that are deadlines for you that you need to work on.

I can load more and see more if I want to choose, but this is going to be the key things that are in my task pipeline that I need to execute.

Now if I jump into the task board here, you're going to see what looks like a traditional kind of Kanban view, which in many ways it is.

But we've got a lot of stuff under the hood sort of that makes it really powerful.

So the first thing is that you can set your tasks manually if you choose or you can add them with the assistant.

So if you want to set a task, you can just hit add task here and you can hit that task title and then that will pop up.

Or you can ask the assistant to add a task and we'll talk about that in a minute.

You can easily move things around so you can pick up and drop and drag and drop the different tasks that you have across the different columns within the board.

And the idea here is that this board really reflects kind of the way that you're going to be running your company.

Something is in the backlog, you need to execute it.

Something might be in progress and you're working on it right now, or a team member's working on it right now or you can move it to done.

The really important thing to understand here is that we've set this up because soon you'll be able to assign the assistant to go and execute tasks for you or the or agents to execute tasks for you too.

So let's just talk here about a task in itself.

So if I take one of these tasks here, we've got a new customer that I need to onboard in this task environment.

You can set the title, add a description for what needs to happen, set the due date, add any Tags you want.

So here, for example, I might want to tag this customer success.

and I don't know if we've got a customer success tag.

If we haven't, we'll just create customer success.

So that will then add that tag for us.

There it is.

and then you can assign team members.

So you can see here, I've been assigned.

I could also assign this to somebody else if I wanted to.

And this is ultimately what the core task is.

Now this one's actually been created by the assistant and that's one of the most important things to know.

And I'll show you how to do that in a second.

These tags though are vital for the way that the NOAN Kanban board works.

Because what you don't want is on most project management platforms you have multiple boards across multiple different business areas.

The reality is the NOAN Kanban board is different because it's designed to work in the background.

You shouldn't really have to come here that often.

You should be able to ask the assistant, what are my priorities?

What tasks are in the backlog?

Ask it to move them around.

it should be working for you behind the scenes.

But if you want to come, you can cut the board whichever way you want.

And that's the key thing.

We don't want multiple Kanban boards.

We want one that we can then cut via our tags.

So here for example, I can see all marketing tasks that have to be worked on right now.

and I can move those around, complete them, et cetera.

I could switch this.

And if we want to see customer success tasks, we just created that tag.

There's our customer success tasks.

So this allows you to have multiple views for multiple departments.

You can be just in marketing and looking at the marketing tasks or you can look at all the tasks that need, to be run across the company.

It's dead easy, it's dead simple.

If you want to see completed tasks, you can click on the completed task bar here or you can search by tasks by the title at any time.

So this is an all encompassing task manager that allows you to manage all your different tasks across the business.

But what makes it really different is the assistant can update those tasks, change those tasks, it knows those tasks.

So it can also tell you what your priorities are.

So we can ask it, what are, my main priority tasks today?

So here you can see the assistant is recalling the priority tasks that have got due dates that are relevant to me that I need to work on.

now one of the key things to know about how to create tasks is just like across the rest of the NOAN app, it's important to use the language of the app itself because the NOAN assistant understands a few key things.

It obviously understands tasks, it will create descriptions for you, but it understands how to assign, tasks, which status to put tasks in and then how to tag it.

So all of those key parts of the experience.

When you're in the Kanban board, the assistant knows and it can update and move around.

So let's set a new task now, add a new task to onboard a customer.

David Smith set the deadline of Friday, set the status to in progress and assign Daniel tag the task Customer Success.

Now, I've asked it to do a lot of things there, but the assistant knows and understands all these different aspects of the app.

And as a result it should be able to follow those instructions for me and it's even added a, description based on that task.

Now, if we jump over, we can see in here that this task has been added.

You'll see we've got the title, the due date of Friday tagged Customer Success and Daniel has been assigned.

That's exactly what we wanted.

Now, if we wanted to close this task again, we can just talk to the assistant.

So Mark this task as completed and move it to done.

So I've just given simple instructions to the assistant on, what I want it to do.

And there you go, it's marked it completed, it's moved it to done and that is over.

I can now work on my next task.

So you can work with the assistant again, as always, with natural language, but just use the language of the app, talk to it like a human being.

Imagine it is a, employee and it's got an understanding of the features and the functionality and just be clear in how you talk to it.

Now the other thing I should add is that what you can do if you're working on a particular project is you can work with the assistant, say for example, on, your memos from Contact Notes.

And you say, I just had a call with so and so.

Can you look at the memos and then turn them into tasks?

For me, it can do that easily.

You could upload a document and ask it to turn it into tasks.

You, whatever you need to do.

It doesn't have to be one task, it can split them out.

So it's flexible.

I think you should play with it, trial it, get used to using it.

And then very quickly, you're going to be managing all your tasks with natural language and just talking to the assistant.
