In this video I will show you how to upgrade to the new Plios Business Central Integration.

Following this video to its end will help you to quickly and smoothly migrate to the new integration.

The migration has three steps.

Firstly, you need to confirm your user permissions in Business Central.

Then you need to install the Plio integration in Business Central and then connect the integration to PLIHO and follow the assisted setup.

We will now go through each of those three steps.

To install and set up the new integration, your user account in Business Central needs to have Super Permission Set.

To check whether your user account has the Super User Permission Set open Business Central, then go to Users, find your user account and then under the User Permission sets check whether you have Super Permission Set If you do not have the Super User Permission Set like for example in this account there is no Super User Permission Set under the User Permission Sets under ask your Business Central admin or provider to either assign the super permission set to your account or to firstly install the integration into Business Central and then after assign the plioint admin permission set to your user account in Business Central.

This is done by typing plio under User Permission Sets and then clicking on any empty line and then this permission set will be assigned to your user account.

And this is a dedicated User permission set which gives you full access to setting up and using the integration.

So to sum up the permissions topic, there are two options here.

Either you have the super permission set in bc, or you can obtain the super permission set in BC for your user account.

Then you can fully install and use the integration.

If you're not able to obtain the super permission set, please ask somebody in your company who has this permission set to install the integration for you, and then assign the dedicated Plioint admin permission set to your user account in bc, which will allow you to fully use the integration.

The next step is to install the plio integration inside Business Central.

Start by clicking Get Started on the migration page.

Next, you will be suggested to download your accounting settings file.

So click a download button in here.

Basically, the file will contain your existing integration settings and please store this file securely because you will need it to set the new integration after you install it.

so having downloaded the file, click Continue to Business Central and then Microsoft Marketplace page will open.

In this page you need to click get it now to start installing the integration.

you may need to log in to your Business Central in order to start the installation.

Okay, on the next you need to select the environment into which you want to install the integration.

So in this case it's production and then confirm the installation.

And then it will take roughly one, two or three minutes to install the app inside your PC.

Once the installation is complete, the pleo integration setup page will open which is the main page of the new integration.

To quickly set up the new integration, follow the assisted setup wizard which has opened in your business central.

First we need to set up the main journal which will be used by the integration.

And this is where the file with accounting settings comes in handy.

So if we look into the file I can see that the expense journal which I already used was called apliua.

So what I need to do now I need to understand which journal template this journal is related to.

In this case it's casse.

And then under expense batch or journal batch I need to find a plio which is exactly the journal which I used to use with the old integration.

If you cannot find the right journal under the batch, just search through other journal templates.

It's the this journal will be part of one of the template over here.

Next you need to set up your pleo wallet account which represents the sort of money for all your pleo card expenses.

And the same logic applies here.

just go to the accounting settings file, check the pleo wallet contra account configuration.

In this case it's pleo bank GL and just search for plio bank GL over here.

a new feature available in this integration is that now you can have Plio wallet as a bank account in to set it up as a bank account, select bank account type.

And then you need to create a new account, bank account in B.C.

Assign a number to the new bank account as well as the name.

And don't forget to assign the bank account posting group.

This is important in this case.

And click ok.

Click next to proceed.

in the new menu we need to firstly assign the PLEO out of pocket account.

It's the account for tracking pocket and reimbursement expenses.

Again we open our accounting settings file, we see pleopocket account and then we type this account over here.

And finally we need an account for tracking external reimbursements, meaning reimbursements made outside of pleop.

If you used to use this account, then open the accounting settings file, check the name external reimbursement and apply it over here.

Next we need to set up the default vendor account for the integration.

This is an optional step and needed only if you are planning to use the invoices functionality in Plevo or if you want to record card expenses on a vendor.

If this is relevant for you, then create a new vendor account in bc.

Select the template for the vendor.

Assign a name for example Default PO Vendor account.

and make sure that under invoicing the General Business Posting group as well as Vendor Posting Group are assigned to this vendor then click ok.

In the next page you need to select the dimensions you want to synchronize with dags.

You can add a new dimension for synchronizing by clicking on the three dotted icon over here and select one of the available dimensions in your Business Central.

You can also delete a dimension if you want to by just clicking on the field and erasing its contents.

once you have selected all dimensions you want to synchronize, click Sync with Plivo for an immediate synchronization.

the subsequent synchronizations will be done automatically.

This is just to synchronize the changes.

Next we need to do some final setup in pleo.

First we need to click on the link available over here and open the Contra accounts page in Pleo.

And in here we need to assign our PLE Wallet account.

If you don't remember it, you can always go back a couple of steps before in the setup and make sure you assign the same account which you have over here.

This case it's B040 so I can just type B040 and assign it over here.

next following the second link available in this page of pleoassist setup, go to the categories page and ensure that you have your accounts link to all your categories in Plio.

So as you can see in here accounts are all linked to categories.

So this is good.

If some account is missing, just assign the correct account to the category Once this is done go back to the Plio Assisted setup in bc.

Click next and in here you need to remap tax codes to all categories.

So coming back to the category page, what you need to do, you now need to remap all tax codes to all categories.

The reason for this is the new integration is now synchronizing VAT business and product posting groups with tax codes in Plio.

and due to that the previously existing tax codes got archived and new ones got created.

So please make sure that you remap tax codes to all categories in Pliwood.

This is very important but this is also very beneficial because it will allow you to fully manage your VAT using the new integration.

Once this is done, come back to Business Central.

You will see confirmation that the setup is now complete.

the final step is to go to Pleo, open the expert page and to try exporting an expense to make sure that the integration is working correctly for you.

The new Business Central integration exports expenses on a five minute schedule.

so there may be some waiting involved after you trigger exporting.

But there is a way to trigger exporting instantly.

To To do that, go back to Business Central and open the Plio Integration setup page.

Then under Actions, click Sync Export Queue.

Now this will trigger exporting of expenses immediately, which is very useful if you don't want to wait and want export to be done in real time.

Finally, sometimes this button is hiding under the More options button.

So if you don't at once see the Actions button, click More options over here.

And as the last step, let's now check how the expert expense got recorded in our journal.

So if exporting worked out well, we can conclude that you have successfully migrated to the new integration.

I would also advise to keep the company field empty over here so that the permission set acts on all companies in your BC and not only on one.
