Trellus/Close Integration

Hey, it's Michael with Trellis.

And today we're going to be going over our integration into close.

So to start off, just make sure before you get into here is that you have the Chrome extension installed.

You never have to open the extension.

This is just how we embed into your Smart views here.

So the way to actually launch the dialer is in any of the Smart views that you've created.

You can just click into any one.

I've just done my demo Smart View for an example.

Here we will put in a parallel Dial Tasks button in the upper right hand side.

And this should be the exact same for any Smart View that you create.

So by clicking on this, it will launch the dialer and then you'll see it will pull on the two contacts that they have built directly into the dialer here.

Now, the first thing to notice is that these are grayed out with this reserve button here.

So this is because we are in team mode.

This is primarily designed so that if multiple people are calling on the same Smart View at the same time, that they're not calling the same contact within the span of like 10 minutes or anything like that.

so if it's just going to be you calling on the list, go ahead and flip it to Solo and you'll see that they're not grayed out anymore.

But if you are calling with multiple people in the same list at the same time, we do recommend having Team mode enabled.

Now, a brief walkthrough of some of the buttons inside of here.

So the play button is to start calling.

This is, the automated dialing.

The button to the right of that is to dictate how many lines you want to call at once.

So, so 1x being your power dialer, 2x to 5x being your parallel dialer.

Over to the right of that is where you can specifically select any numbers that you have in your lineup.

So maybe you want to do a specific number to target a specific list.

You can select a number here.

Alternatively, we usually recommend keeping Smart and all on here, because that will choose the number that has the highest theoretical connect rate to whoever you're calling to the right of that.

This is where you can listen to music.

So Spotify, YouTube, Apple Music are all supported.

The audio will pause itself as soon as you get connected.

But it's a great way to avoid listening to a dial tone for hours on end.

And then of course, night mode right here, and then X to exit out of the dialer.

Now another couple setup buttons that are worth mentioning are These two right below the play button, this is your voicemail drop, the little recorder icon.

You just simply click the microphone to go and record a pre recorded voicemail and then you can select any of your pre recording voicemails here and then it will leave that message whenever you get a greeting and calling your list.

The button to the right of this is a screener drop operates the exact same way.

So you can pre record with the microphone and then select whatever recording you want to use.

This is used for parallel dialing only.

Again, this is for parallel dialing only and the reason we have implemented it.

So let's say if you're calling three people at once and one of them has a screener, instead of just patching you through to the screener and hanging up on those other two potential connects, it will leave that prerecorded screener drop and then continue to ring your other lines.

And, and that way it ensures that if you are getting patched through, it is specifically for a human pickup.

So keep that in mind.

The button to the right of this is your number prioritization.

So if you want to target work or mobile, you can move these around.

This is also where you double dial or double tap as well.

You can do that for each specific line depending on how you want to target them.

And then to the right of that is your time zone and location preferences.

So you can set a specific call window where if anybody's local time falls outside of this window, we we will filter out those contacts.

Alternatively, you can filter your list by time zone or country or state, depending on your preference.

Again, anything that does not meet this criteria just gets filtered out in this filter tab over here.

So that leads us into another aspect that I think is worth mentioning here is we always recommend to check and see if there are any leads populating into this filter tab.

We have a list and we'll always tell you why that the leads are being filtered out.

But it's always worthwhile going and checking just to make sure you're not missing anything.

And then the last thing from a setup perspective is if you put any additional filters on your list that changes your list in any way, you can update that in the dialer with this dropdown and force refresh your task list.

So if I put a filter on that removes Craig and I don't want to make sure Craig populates inside the dialer, you can go here, force refresh and then it will remove him.

If you remove him over in your list towards the bottom of the dialer, we have Three different tabs here.

So your cancel tab is for any calls that you have hung up on due to a call connect while parallel dialing.

Your inbound is for any inbound calls that have come in, whether they have been connected or you had to let them go to voicemail.

This is where you can go back and recall those folks if needed.

As a note, any incoming calls will actually pop up on your screen for you to live answer.

But if you do miss them, we keep them all here for you, just so you can go back and call them in an easy way.

And then of course any logged calls just go straight into the log tab below that.

This is where you can select your microphone as well as your speaker.

So if you wanted to do a really quick kind of configuration, this is where you would do that.

And then we have this special list option down below.

This is for additional filtering.

So let's just say if I wanted to call somebody specifically who was no answer, or maybe somebody who I only left a voicemail down in this dropdown, you can select hey only call people I left a voicemail for or only call people who have been a no answer.

And then you just select what time frame you want this to pull data from.

And then you can press load and then it will pull in those leads into this listing feature here.

To get back to your regular tasks, just click the same button at the bottom to switch back to your regular tasks.

Last couple buttons down at the bottom.

This keypad here is specifically for while you're live on the call.

So think about this like an extension or if you need to navigate a tree, this is where you would do that.

We have extra scratch paper here.

So the way that it will work is that we will log post call notes and then predicted dispositions into each close contact.

But if you wanted to take notes live on the call, you can do that with this function here.

And then any of these will also sync back to the post call notes that we will log after each completed call.

Next to that audio, settings more so like input output a little bit more detailed than the ones above.

So it's a little bit more customizable for you.

And then to the right of that, this is where you can place a one off call.

So this is where you can just type in a number and dial without having to worry about auto dialing anybody inside of the system.

Last two buttons over here, this is where you can actually pop out the dialer instead of having it stuck to the right hand side of the screen.

And then your settings button, which will just pull up some more customizations for you for your workflow.

Now that just about does it for the dialer.

The last couple things I will touch on is that we will automatically open the contact page of the product person who you were calling and then inside the contact page you have this ability to click to dial here.

This is again kind of like that one off dialer that we were talking about where you punch in the number, except this is specifically tied to the contact and then will prompt you to leave a post call note for that specific contact.

So if you are looking to do click to dial, we usually recommend doing it through the contact page.

Just to make things simple.

Outside of that, that's just about all there is to it.

please let us know if you have any questions and looking forward to hearing from you.

Take care.
