HIERARCHY TO HYPE: ClickUp Super Agents

Hello, everybody.

My name is Anna Bullock.

Thank you, Trish.

I am excited to take over and teach you all a very exciting marketing workflow to take you from hierarchy to hype.

What that means is setting the building blocks first.

Because ClickUp super agents work best with context.

That's what I love best about them.

And in order for them to work on your work with context, you need to set them up for success.

Of the famous Arendelle have developed a youth center.

So it's the Kingdom Youth Outreach center, and they are serving the children.

They have community engagements as well as the Frozen Games 2026, which they repeat every year in order for the kids to have a chance to do recreation, pretend to be an Olympian and have a great time.

But we need to set up their workflow for.

When our fictional magical client Elsa asked us to design this for her, she has an entire kingdom to run.

So within ClickUp itself, the Kingdom Youth Outreach center is really its own space.

And within that space we have folders for each of their different ventures.

In this case, we've set up the Frozen games because they are a year long process on their own.

The community updates as well as their main operations task list.

This allows the space level to be overarching.

We also can enable our super agents to have access to this full space without them getting lost in all the other things going on in the kingdom.

When we talked to Elsa, the first thing she said she needed was an event planner.

She also wanted a content manager because she is extremely busy and she does not have time to do either of these roles.

So with our event planner we we prompted ClickUp to create an event Planner for the ClickUp 2026 Games with the overall context of the Youth center and their goals.

You can see here some examples of what this event planner was able to do.

They are able to generate tasks for us, help us stay on track.

They're also able to identify the due dates because we had a few due dates that were planned incorrectly and so they were able to remap due dates and make sure that our timeline actually made sense compared to the reality of the event itself.

Every event needs sponsors.

It needs money.

And although the Kingdom has donated quite a large sum, they need to manage sponsorships.

So we prompted our ClickUp Super Agent to track our sponsors.

But not only track our sponsors, you'll see here that the ClickUp agent can also be assigned to sponsors.

They will be able to work this file for us, give us summaries, let us know the best things to do next.

We can also easily track the tiers that the sponsors are interested in, as well as their contact information for Quick Automations and Flow.

Had we not set it up in this order, the Event Planner might have been a little bit confused.

For event planning itself.

We have a lot going on.

There are the, you know, different snowman builds, there's a sledding race, there's a lot of events that we're putting on for the kids, and there's a lot of tasks involved in that.

So we were able, with our event planner, to create not only the event planning lists and related subtasks that they would need to complete, but also see what's going on in a timeline view on a status level with a super easy ability to prioritize work.

We also color coded this to make it easy for us to see, you know, what's done versus what's not started.

And our event planner really took that to heart and really went hard on making sure that things got done.

One of my favorite things about super agents is that you can build them in teams.

So in addition to our event planner, who's making sure our sponsorships are secured, making sure we stay on track with our planning, we now brought in with the context of the events, a content manager.

So for example, You'll see they link to the sledding race.

They are creating content newsletters as well as social media posts and even getting info from the community to spotlight within the context of the event itself.

If we had started with social media, she would have been able to promote things like our center, but she wouldn't have had the context of the event in order to build out the things we needed her to.

In addition to helping us to structure and connect information, she's also able to do things like develop copy as well as help us with structure for emails.

Really important things that Elsa and Anna are not trained in and quite frankly don't have time to figure out themselves.

For the newsletter itself, you can see an example of our board view.

We have different stages, obviously there's a lot of different publications we need to write to promote this event and other things going on in the center.

So.

So we have different statuses such as ready and writing.

When you are creating a super agent, it's really important that you establish what your statuses are for each list in your hierarchy.

But the cool thing is if you are not sure what to do, they can look at that list and suggest statuses for you to add.

They can suggest fields for you to add and once you add those, they can populate them appropriately.

Once you've done that, you also can have related tasks.

So we have this newsletter, we have the different editions coming out and show she is then able, with the context that we've provided to give us, for example, eight subtasks for a campaign.

And she's able to remind us to do things like confirm the registration link, make sure we do our volunteer call, that maybe we wouldn't have thought of or necessarily had in our current template.

One of my favorite pieces that the content manager helps us do is she helps us review public submissions.

the people of Arendelle have great intentions.

So most of the submissions we get are wonderful.

But she is able to look through the list of submissions that we get from this public facing form and she's able to help us determine is this worth publishing.

She's able to help us look against our strategic goals for how to promote our events, our center, our mission, and see if these fit into the overall campaigns that she's already helped us decide and design.

This is an example of her work going crazy.

So we have the social media board here.

I'm looking at it in list view, we can look at it in board view.

But essentially what she's done is we have come up with alongside her multiple options of different posts that we can create for the events.

We've attached the relevant dates to them as well as the subtask related to the workflow.

then we have the actual process.

So for example, the season recap and testimonies is in the writing status.

She's given us full context on the different layers of posts that we can create, assets that we might need, making sure that we check all those items off and then throughout the that she suggested we are able to approve posts, publish them, make sure they're live, and check this against our overall calendar for the event itself.

So our client, Elsa, was very excited about taking a lot of this admin work off her plate.

She doesn't have to worry about sponsorships.

She doesn't have to plan the events.

She doesn't have to come up with the content.

But Ana realized that there was a layer missing, and so we added someone else to our team, and that is the coo.

We straight up just said, we need a coo, for this space in ClickUp, we need want them to work with these agents.

And ClickUp Agent was able to not only create our perfect coo, but allow that COO to interact with the other, not only individuals like myself in the workspace, but also with the other agents and keep us on track.

now to come to our coo, and ask her, is there anything that the content manager can take off my plate today?

So for example, in the event and Comm center planning the Magic Showcase, focusing on a certain sponsorship, it's letting me know I can pass those things off when it comes to sponsor outreach.

It's also letting me know what's delegable and then also what should stay with me.

And so it really is operating like our Chief Operations Officer for the actual kingdom itself.

And what's really nice is it's letting me know what's going on, what I need and I can ask it to please delegate those tasks as recommended.

Anything in frozen game space, please send to Event Manager and anything maybe if I spelled manager correctly and anything under community to Content Manager and then I don't have to worry about it again and I'll get a notification once those things are done.

There is so much more that we can do with super agents.

This is just a high level example to get you thinking, get you excited and give you some ideas of not only how you can use super agents, but how you can form a team of suture agents in order to best serve what you need for your use case.

I would encourage you to remember that you can work straight with the super agent and follow their suggestions, or you can save some time by building out your initial hierarchy and making sure that you have the lists and the custom fields in place to make it all the easier for your super agent to assist you.
