To show you how to create meetings within role base, I've gone ahead and used a different example which is the demo because there's a little bit more filled out already.
00:09
So let's say my entry point again is a team.
00:12
Let's say I want to organize a meeting within the sales team.
00:16
Let's say there you go.
00:18
I'm in the same sales team.
00:19
I just click on here.
00:21
And as I said in the previous video, you'll have all the things here that you'll be able to organize your team by.
00:28
So you'll have the news feed, you'll have the topics, and here you'll have the button meeting.
00:33
So I go ahead and click on it here.
00:35
What you can see already is all of the meetings that have gone by.
00:40
Right.
00:40
If you click on those different meetings that were that were previously held, you'll be able to access the summary of the meetings.
00:48
You'll also be able to program recurring meetings.
00:51
So you'll just see them all in here lined up.
00:54
So today what I want is I want to create a new meeting within the sales team.
00:58
So I'll go ahead and click on it.
01:00
so here I'm going to go ahead and add a title to the meeting.
01:05
What is the meeting for or about?
01:08
Let's say, I want to say so weekly meeting.
01:11
Okay, so what's interesting in role base and here is because I I, I scheduled the meeting within the sales team you'll be able to see all the different people already within the sales team that have been automatically invited.
01:27
Right?
01:27
You can add the sub roles as well if you want them to be in there.
01:33
And then essentially the sub roles are all the sub teams within the team.
01:37
And here I'll be able to add different steps to my meeting.
01:42
So I'll be able to kind of carve out what the agenda of the meeting will be.
01:46
Right?
01:47
So you can add either checklists or tasks or topics or indicators or whatever else.
01:53
And if for instance you add the checklist here or the indicators, for instance, it'll go and pick out the checklist and the indicators from the team, from the sales team and you'll be able to just kind of follow them there.
02:07
So what I'll do today though is I will let's say use a pre existing template.
02:12
So within rolebase you can create a template of your own to follow like a set agenda for different types of meetings.
02:19
So I'll go ahead and do that today.
02:21
So I'll Just click on let's say this one.
02:23
It's a triage meeting.
02:25
And so what I can see is that the template already includes all of the different blocks of the meeting.
02:34
Right.
02:35
And I can add a step if I want to to customize and I can hold the meeting as private or I can add obviously a link to the video conferencing if I want to.
02:45
Right.
02:45
So let's say I want to, I'll go ahead and create the meeting once the meeting has been created.
02:52
What I'll do since it's a weekly meeting, right, I want to follow on to what was discussed, let's say in the previous meeting.
02:59
I can go ahead and let's say copies the previous meeting.
03:03
What that'll do is it'll just take up, pick up everything that was discussed from last week.
03:10
Right.
03:11
It'll just pick it up.
03:12
Right.
03:12
If I, let's say in my indicators I had noted in numbers, it'll show up here and then I'll be able to add on top of it.
03:22
And then here it'll show my task list that has been updated.
03:26
Obviously the task list has been updated from, from last week.
03:29
It'll show the updated version.
03:30
And what's also interesting here is that I'll be able to either create a new topic that I want to discuss within the meeting or I'll be able to attach an already existing topic.
03:42
So all of the topics that have been created outside of meetings can be updated within meetings and any updates within the meetings will obviously be synchronized back once the meeting is done into the topics.
03:55
That makes sense.
03:58
and so what's interesting here as well is that anybody who's invited to meeting, right can attach their own topics here.
04:05
Right.
04:05
So you start to co create the agenda of the meeting and once the meeting is done, what role based will offer you is to either use an AI agent to build a summary of the meeting or you'll be able to handwrite the summary of the meeting which is what will become available obviously in the tabs here in your newsfeed.
04:26
Right?
04:26
That's the summary of the meeting.
04:28
and obviously the meetings can be either scheduled from within the different teams to keep the work autonomous or obviously as with topics and tasks, you'll be able to also, let's say click the plus sign here and and immediately add or create the meeting from here.
04:47
So what's really important though for you to do that is that you need to synchronize your calendar to role base.
04:56
So that any meetings created within Role based appears in your calendar.
05:00
So that is easy to do.
05:01
You go to Settings, you create, you click on integrations and API and there you'll be able to connect your calendars right there.
